- Customer support – Assign all replies to a customer support individual or an outsourced staff member.
- Route replies based on topic – Assign the responsibility of replying to an announcement or message to the best-suited department, such as maintenance for repair requests or accounting for late fee inquiries.

- Improved the user experience for file management. We’ve improved the user experience for managing files and folders.

New Features
Customize your email and portal branding at a community or company level
Managers can now easily add the company’s logo and colors to the portal and all email notifications at a company or community level. This means you have direct control over your community portal branding, ensuring a consistent and professional look for your residents, which helps them feel more connected. Previously, our team handled this for you, but now you can manage it yourself, making updates quicker and simpler.

Manage settings at a company or community level
We’ve updated the Settings area to differentiate between global company settings and custom community settings, making it easier for you to locate and manage the information you need. You’ll notice that the settings area looks slightly different. Although everything you need is still in the same place, you now have direct control over managing more settings based on your role. Previously, our team would have handled these for you, but now you can customize settings, such as branding and time zones, yourself.

At a community level, community managers can now handle:
- Branding & Communication, including colors and logos for the communities they manage
- State and time zone (accessible via the General settings)
- Display phone number for phone calls
- Display name for community emails
- Logo and letterhead for the community’s postal mailing

At an organizational level, company administrators can manage:
- Company Name settings
- Control overall appearance & branding for your entire company or specific communities, such as logo and colors for emails and the portal.
- The email address to receive notifications for user changes, new user registrations, and reports.
- Logo and letterhead for postal mailing that can be controlled at a company level for all communities.
- Access to all the same settings that Community Managers have.

Enhancements
- Bad Communication Report enhancements – In June 2025, we introduced the new Bad Communication Report, which shows you a list of all occupants with invalid email, phone numbers, or text/SMS numbers. This month, we’ve enhanced the report to automatically display contact information, communication issues, and unit address by default. This new enhancement aims to make it faster and easier for our customers to identify communication issues.
- Message preview export – We’ve improved the Message Preview export for our communications feature. The downloadable Excel file now displays the address in a more organized way, making it easier to read and use.
- Committee notifications for ACRs – Architectural change request tickets now notify committee members by default when creating a new ticket.
Online Voting Feature Enhancements
This month, in partnership with Ballot Bliss, we’ve also made enhancements to several of our online voting features. These enhancements are all aimed at making ballot management easier and improving reporting for your community association’s voting outcomes. Check out all the new enhancements on the Ballot Bliss website!

Greetings! This month, we’re back with a new feature for ballot write-ins and several enhancements in partnership with Ballot Bliss to help your communities increase election administration and turnout. Keep reading to learn more about these new, exciting features!
New Features
Improve Resident Engagement with Advanced Write-ins
Residents have diverse perspectives, and sometimes the standard ballot or questionnaire options don’t capture their choices. Whether you’re gathering input on amenity improvements in a survey or conducting an election, residents have valuable ideas that often go beyond the pre-determined choices. To bridge this gap and offer residents more voting options, we’re releasing a new feature with Ballot Bliss that supports write-ins for multiple-choice questions. This means that residents can still select from original options while adding their suggestions through write-ins.
For communities that implement cumulative voting, this opens up a new way to increase engagement with your residents, as they can distribute their allocated votes among both existing choices and write-ins based on their preferences.
The system automatically captures and organizes all responses, including write-ins, which eliminates the manual tallying that often delays results. You’ll get comprehensive reporting that shows both standard selections and resident-generated options, which gives you a more complete picture of community preferences while increasing engagement.
Enhancements:
This month, we’ve enhanced several existing features to help you communicate more reliably with your residents, simplify voting administration, and increase participation in your community’s next election.
Easily identify invalid contacts and communicate with confidence
In a recent release, we introduced the new “Bad Contact Information” Report, which helps you identify residents with outdated contact information, such as invalid emails, phone numbers, and text numbers. To make browsing simpler, the report automatically defaults to showing just those residents with invalid contact information. This new enhancement makes it quicker for you to identify and resolve your HOA’s communication delivery issues. This new enhancement also gives you peace of mind that messages are being sent to the correct contacts, which is especially vital during emergencies.
User-friendly voting experience for residents
We’re excited to share some improvements we’ve made to the resident voting experience to help boost turnout. These small changes will make the experience smoother from the ballot invite to casting the vote.
- Navigate Ballots Easier – When residents receive their ballot, they’ll notice cleaner spacing between each question.
- Multi-answer questions – Multiple choice questions now show the number of current selections vs the maximum votes that are allowed.
- Ballot invite formatting – Whether your residents choose to receive paper or email invites, the improved formatting ensures that they will have clear access to their unique voting credentials and instructions.
- Community names moved to the end of ballot invites – We recently gave the email invite a big redesign. This month, we’ve moved the community name in the ballot email subject line to the end so that the most important details about voting catch your residents’ eyes first.
Streamlined ballot administration
- Compliance alert for Truly Secret Ballots – The system now provides clear notifications to HOA ballot administrators that secret ballot votes cannot be deleted or modified once residents cast them. This ensures full compliance with various HOA state laws and aims to protect resident privacy.
- Expanded unit weights/percentage of ownership – We’ve expanded unit weights to 10 decimal places based on our customers’ feedback to allow communities more precision in votes that require a percentage of ownership to calculate votes.
- Better formatting for contact information in results – We’ve resolved the formatting for special characters in residents’ names in the ballot reports, so it correctly displays joint ownership (such as “John & Jane Smith”) and business names.
Improving resident communications and engagement
As a manager or board member, you’re juggling countless responsibilities from getting important announcements to every homeowner to organizing community votes, and everything in between. We’ve added several new features and enhancements in partnership with Ballot Bliss in the release that are aimed at helping you make resident engagement and community voting simpler. Stay tuned for more updates in the coming months.

Two releases in a month?! Our development team has been heads-down working on something that keeps coming up in a lot of our conversations with HOA managers and boards: how do you get people to turn up and vote? The answer is more than just sending out a ballot invite to your residents. In partnership with Ballot Bliss, we’ve focused on all the big moments and little nuances that will help your communities push the boundaries when it comes to an HOA election turnout. Keep reading to learn what we’ve discovered and built along the way!
New Features
1) Send ballot invites via text/SMS in the residents’ preferred language
Reaching residents through multiple channels is essential to achieving quorum, and we’re excited to give our clients another new way to communicate! Managers can now send ballot invites directly to residents’ phones through text/SMS messages and in the language residents prefer. Pilera supports over 100 languages for text/SMS translation, which is especially important because 76% of customers want information about products translated into their own language.
Additionally, each text message contains information about the ballot, a secure link, and a personal access code for residents to cast their vote.
2) New ballot emails are designed to make voting easier
With the new ballot design, we’ve removed the clutter and put the essential information front and center to make it easier for residents to cast their vote. The voting button stands out more, and the secure access code is quicker to find. We’ve made this change to eliminate any guesswork for your residents and naturally guide them through the voting process.

3) Ballot Postal Letter Gets an Upgrade
Physical mail remains crucial for those without reliable internet access or who simply prefer mail. But too often, official letters are confusing and hard to follow. The new postal letter layout organizes all important information, such as ballot details, voting instructions, and secure access codes, more prominently. The shortened secure links in the letter not only look cleaner but also provide better protection against security issues while being easier for residents to use.
4) Short voting links that are easy and secure
Your community shouldn’t have to choose between security and convenience, and now with our short voting links feature, you don’t have to. The new short links for text and postal letter ballot invites are easier for homeowners to access, they’re less prone to typing errors, and they provide better security against tampering. Whether residents are clicking from their phone or typing the URL from a printed letter, the process is simpler and secure.

5) Create a strong first impression with your community’s logo
When residents click their voting link, the first thing they see is something they should recognize, which is your community’s logo. In the redesigned voting entry page, we now feature your community’s logo right at the top, so residents know that they’re on the community’s voting page and not a generic website. The page also includes clear instructions on how to enter their secure code to cast their vote. Small touches like this can make a big difference between residents feeling confident about the voting process versus not participating at all.
Enhancements:
Along with the big features, we’ve added some little touches that will make your day a little bit easier. Take a look at how these new enhancements simplify your work:
- Faster ballot access from reports – Building on the Report Mode we released earlier this month, you can now directly access a specific ballot from this report, eliminating redundant steps.
- Clear audit log tracking – We renamed the “History” tab to “Audit Log” to better reflect its purpose of being able to see which election admins, community managers, or board members unsealed ballot results.
- Better Styling for Ballot Emails – The improved headers in ballot invites ensure your community’s visual identity remains consistent across all resident communications.
- Better Help Article Guidance – Clearly labeled help resources in the Send Announcement area enable you to get quick assistance on the go.
Simplifying resident engagement and turnout
Between keeping residents informed in your diverse communities and increasing engagement in critical votes, you’re handling dozens of moving parts every day. We’ve added several new features in this release, specifically designed to make voting easier and more efficient. These updates are now live and ready to make your jobs a little bit easier!

This month, our development team has been busy under the hood to bring our customers exciting new features to Pilera’s communications platform and new ballot management features with our integrated partner Ballot Bliss!
From easily identifying invalid resident contacts to smoother ballot creation workflows, our new updates are aimed at making your community management work smoother! Keep reading to learn more about all these new, exciting features!
New Features:
Resident Communications
See which residents have outdated contact info
When you need to reach residents quickly, whether for routine updates or urgent alerts, outdated contact information can become a barrier when you can least afford it. Many of you told us that our existing feature that helps identify invalid contacts is essential to your communication process, so we gave it a big upgrade to make it even better. The report is called the “Bad Communications Report” and is now available in the Communications tab. You’ll now get clear indicators on which resident phone numbers or SMS/text messaging contacts are invalid, making it simple to keep your resident database accurate and your communications flowing smoothly.
Ballot Management
A more streamlined workflow for Ballots
We’ve eliminated the back-and-forth between pages to create a smoother ballot management workflow. Now, everything you need to manage your community’s ballots, from handling settings to tracking results, lives in one place.
The interface will feel very familiar if you’ve been using Pilera’s integration with Ballot Bliss while giving you new functionality that will streamline election management.

A glance at each ballot across all your communities
If you’re managing ballots for multiple communities simultaneously, it can feel overwhelming to keep track of things like ballot settings and quorum. In partnership with Ballot Bliss, we’ve created a new “Reports Mode” which puts the most important information for your communities’ ballots on a single dashboard. Here’s how this new feature makes ballot management easier across your portfolio:
- Check the status of each ballot across your communities
- Easily see how many people have voted, compared against each community’s quorum requirements.
- Find specific ballot information by searching dates or by keyword
- Get a glance at each ballot’s progress, including seeing resident voter turnout (including weighted votes), when the ballot starts and ends, who’s eligible to vote, and other important details.

Treat paper ballots and administrative proxies just like online votes
When you receive paper ballots or administrative proxies, you no longer need to maintain separate spreadsheets or systems. With Pilera’s integration with Ballot Bliss, you can easily enter the votes straight into the system, send residents an email notification, and attach original documents to the submission for complete records.
Multi-unit owners can have each property vote recorded separately, and the system automatically tracks when staff enter votes for full transparency without the administrative burdens.

Translate ballot invites automatically into the residents’ preferred language
Seamlessly remove language barriers that prevent homeowners from voting in your community elections. With Pilera’s support for over 100 languages, easily translate the content of your ballot invites and instructions into your residents’ preferred language.

Faster voting for multi-property owners
Homeowners with multiple units can now cast their votes for each unit in one session. They’ll see all their properties listed together and can either apply the same vote across all units or vote individually for each one. This new functionality eliminates the need for homeowners to juggle between multiple ballot emails or verification codes to cast their votes, giving them a better voting experience.
Make data retention a breeze
Each ballot now has its own “Documents” section designed to help you maintain comprehensive record-keeping. Attach scanned paper ballots, proxy forms, and other supporting documents directly to the ballot to create an organized audit trail. When boards or residents ask questions or request historical records, you’ll have everything properly documented and accessible instantly.

Enhancements:
In this release, we’ve also made several smaller tweaks to the features you use to make your day a little bit easier.
Communication Enhancements
- We’ve fixed the resident message preview display when units receive physical letters in the same mailing. The preview now clearly shows what each unit will receive.
Ticketing System Enhancements
- Date ranges for tasks now function correctly on the dashboard, giving you accurate results when filtering by timeframe.
Ballot Enhancements
- We’ve switched to a cleaner font for ballot invitations so they’re more easily readable.
- Voting deadlines in ballot notification emails now show your community’s correct time zone.
- When creating a ballot, we changed the verbiage from “Description” to “Summary” for better clarity.
- Attachments now sort alphabetically by filename, making documents easier to locate within the ballot.
Managing resident communication and voting with ease
Between keeping residents informed, managing staff workflows, and organizing community elections, you’re handling dozens of moving parts every day. We’ve added several new features this month, specifically designed to reduce the administrative burden and make your daily tasks more efficient. New Features
Truly Secret Ballots
Pilera, in partnership with Ballot Bliss, is continually enhancing voting features to improve the customer experience. As more states, such as California and Hawaii, require anonymous voting, communities need an easy way to tally votes while honoring resident privacy. We’ve spoken to many HOA election officials who are struggling to find software that offers secret ballots that are truly secret. That’s why we’ve released a new feature called Truly Secret Ballots, which separates the resident or voter identity from what they voted for. Our enhanced security measures ensure that no one, not even our system, can trace vote choices back to voters.
To further protect voter anonymity, we randomly hide the first several submissions from the results table, until the ballot is archived and the polls are fully closed. The date and time a resident casts a vote have also been removed to avoid traceability. These features improve transparency with the community and reduce the election administrator’s legal risk of exposure to secret ballot data. If you often hear residents asking, “How do I know that you can’t see who I voted for?”, then this feature will make your life a whole lot easier! You’ll give residents the confidence to know their vote is protected while building trust with the community.
See who is and isn’t receiving community announcements
To help our clients improve success with their communications, we’ve upgraded the community announcement preview. This preview now shows you who will and will not get messages based on your segmentation.
This new functionality organizes recipients and non-recipients into a table for easier searching and exporting.
Ballot Enhancements
Partnering with Ballot Bliss, we’ve rolled out several enhancements to improve the user experience:
- Increased security for documents linked within a ballot.
- Streamlined ballot creation by making multi-choice and single-choice questions required by default. Managers have the flexibility to unselect this option if needed, such as for surveys.
- Improved clarity in the Ballot History by changing the term “Unlock” to “Unseal”.
Integration: Bring in Multi-Owner Accounts from Vantaca
We’re excited to announce that you can now seamlessly integrate multi-owner accounts from Vantaca into Pilera! This upgrade allows you to communicate with all owners in a unit, increase resident engagement through the portal, and efficiently manage support and maintenance tickets – all in one place! We are one of the first companies to implement the new API updates from Vantaca.
Other Enhancements:
- We’ve improved the Board of Directors bricklet in the resident and manager portal for a better usability experience.

Greetings! In 2024, Pilera introduced its partnership with Ballot Bliss to bring secure and efficient online voting to the community association industry. This month, we have several exciting new updates to share about the ballot feature, including new ballot invites, a revamped results section, and much more! Keep reading to learn more about these new updates!
Ballot Invites
Increasing participation in your community elections just got easier! Managers can now send out Ballot Invites for a specific election or vote directly through the Send Announcement or Send Message feature. The email content is fully customizable and includes a secure link and code, allowing residents to cast their votes easily.
Send Ballot Invites to Non-Voters
When voting is underway, reminding residents who haven’t participated is essential. Our latest feature enables managers to send automated reminders, ensuring more votes are cast and improving your community’s chances of meeting quorum.

Guest Voting
In response to our clients’ requests, we are excited to introduce Guest Voting! This new feature brings convenience and security to your community’s elections, surveys, and votes. Now, residents can securely cast their vote from a Ballot Invite using a unique link and code – without needing to log in. The code is valid up to five times or until they vote. After voting, residents can log in or sign up for a resident portal account to stay updated, request services, and connect with their community anytime.

Redesigned Results
We’ve revamped the results section based on our client’s feedback, making tracking and analyzing voting trends easier.
- Charts & Results – In the December 2024 release, we introduced a variety of charts and a comprehensive results table. In this release, we’ve improved the charts to include information such as the total unit weight.
- Participation – Quickly see who has voted, who hasn’t voted, and access the full voter base. You can download a summary or detailed report for offline use and analysis.

Terms of Service
Now, managers can require residents to agree to custom Terms of Service before voting. A built-in rich text editor makes it easy to create agreements tailored to community rules, CC&Rs, or local regulations.

Improved clarity of results and participation settings
We’ve improved the wording of the settings related to displaying results and participation details. This will help managing the community’s voting settings more clear for our clients.
Take your community voting to the next level with Ballot Bliss
Pilera’s new integration with Ballot Bliss takes the complexity out of the community association voting process. Enjoy a seamless, secure, and stress-free election process with Pilera & Ballot Bliss, with many more enhancements on the way in the coming months.

Improve efficiency through 2-Way integration with C3
We’ve enhanced our integration with C3 by adding a two-way sync. This means your data will always stay up-to-date on both platforms – no more double-checking or making manual updates. Additionally, Pilera automatically pulls other occupants from C3, so you don’t have to manually add them.
Convenient online payments with Alliance Bank SSO integration
Pilera now supports Alliance Bank Payment single sign-on (SSO). This means residents can quickly access their online payment directly from Pilera.

Add quick comments to more ticket types
Add quick, pre-written comments to ticket types like Rule Violations, Support, Tasks, and more. This will save your team time and ensure consistent communication across the organization.
Community Event Calendars
The Community Event Calendar got even better in 2024! We made several enhancements to improve the user experience for managers and residents alike. These enhancements include:
- The ability to print calendar events by month, week, and day.
- The ability to easily view who created each event for better accountability.
- Improved appearance of the community calendar when you embed it on your community website.
- Making the experience on mobile devices much smoother and user-friendly.
Communication Enhancements
We’ve made it simple to re-engage residents who haven’t logged into Pilera recently. Whether you’re preparing for a big vote or just looking to keep everyone in the loop, this tool helps you pinpoint inactive users and send a quick email with credential reset instructions.
New community validator import
We’ve made it easier for standalone clients to validate community data before importing. Simply upload your spreadsheet with occupant data and addresses, map the fields, and validate. We’ll provide a template to get you started, and once validation is complete, our tool will generate a ready-to-send spreadsheet that you can send us for the final import.

Pilera and OSG have partnered to provide enhanced communication options for community association managers and board members.
Carol Stream, IL, and Nashua, NH – September 24, 2024 – Pilera, a leading CRM solution for HOA management, and OSG, a premier provider of print and digital Customer Communications Management (CCM) solutions, are pleased to announce a strategic partnership. This collaboration will enhance how Homeowners Associations (HOAs) communicate with their residents.
Pilera’s platform focuses on building meaningful relationships within communities, treating residents as valued members rather than focusing on transactions. Through this partnership, OSG’s expertise in CCM, including print and mail solutions, will complement Pilera’s digital offerings, enabling multichannel resident communication via phone, text, email, and mail.
“We are excited to partner with OSG to broaden our communication capabilities and offer more comprehensive services to HOA managers,” said Ashish Patel, CEO of Pilera. “This partnership will provide HOAs with more diverse ways to connect with residents, fostering a stronger sense of community by expanding communication channels.”
“We see tremendous potential in combining our communication expertise with Pilera’s industry-leading CRM platform,” said Dean Cherry, CEO of OSG. “This partnership will enable us to deliver innovative solutions that support HOAs in building stronger, more connected communities.”
Through this collaboration, Pilera and OSG will offer integrated solutions that streamline the management of HOA communications, from routine announcements to critical updates. The combined benefits will extend the reach of associations, allowing them to connect with residents in a variety of ways—whether through phone, text, email, and mail —resulting in broadened communications with their communities.
HOA managers, board members and residents can benefit from the partnership immediately. By partnering with OSG, Pilera clients can allow residents to set communication preferences to request printed mailings. Community managers also gain the ability to initiate comprehensive direct mailings quickly and efficiently, improving responsiveness and engagement within their communities.
The postal mailing functionality is available in Pilera’s CRM platform today. Pilera clients can activate it by setting up an OSG account within the platform. For more information about this partnership and the solutions offered:
