We have added a new feature that allows managers to access their VMS accounts directly from within Pilera, making the workflow smoother. PileraVotes User Experience Improvements

In November 2023, we introduced PileraVotes, a new secure and accessible voting platform.  This month, we’ve added several enhancements to improve our clients\’ voting experience.  

  • PileraVotes allows you to include multiple questions in one ballot, allowing residents to vote on several important issues within a single submission. On the ballot results page, you’ll find visual charts for each question, providing instant insights into the voting outcomes.
  • The new “Redacted Report”  provides voting or election outcomes without disclosing owner names and units. This new report safeguards owner privacy and improves compliance for communities that require redacted reporting. Furthermore, for condo communities that require ownership percentages in their voting methods, we’ve now introduced a new report titled “Redacted Report with Percentage of Ownership”.
  • The voting “Export” has been changed to “Detailed Export” for better clarity.  
  • We’ve changed the name of “Unit weights” to “Percentage of Ownership” to reflect the term our clients use the most.

This inbox consolidates all email conversations from residents, vendors, board members, and fellow managers that originated within Pilera. The powerful search and filtering capabilities let you find conversations in a snap. 

Architectural Change Request Committees

The ACR committees feature was a popularly requested feature among our clients who needed a better way to streamline the review and approval process for ACRs.  We introduced the ACR Commitee Role, which you can assign board members and residents to so they can access ACRs, approve/decline them, and stay informed throughout the process.

Ticket Charts

Want to track the trend of open versus closed tickets? Easy! How about a breakdown of your team\’s tasks based on priority? Or a chart showing ticket assignments? We\’ve got you covered!

Ticket Charts are designed to quickly highlight operational trends and the work affecting your communities. Explore these charts across various ticket types—from work orders and support to ACR, violations, and more—to gain quick insights into your team\’s activities.

View a history of all conversations from vendors and managers/assignees within the ticket itself, eliminating the need to search through your emails endlessly.

  • Filter dashboard by vendor – See the workload associated with vendors in your community anytime.  
  • Manage vendor staff in different departments – You can add multiple staff members from a vendor company to the database and allow them to be assigned tickets.  That way, you can communicate more easily with an employee from different departments, such as accounting, a triage person, or the owner of the vendor company, etc. 
  • Set a default vendor assignee – To avoid any confusion about who should be assigned work orders from a vendor company, you can set a default vendor contact to be assigned work orders.
  • Invalid contact information – In the app, you will see if a vendor staff member cannot receive notifications because their email address is invalid. 
  • Vendor communication tracking – Email communication with vendor staff is now tracked in the Message Center. Additionally, vendors can reply to work order and RFP tickets and their responses are tracked in the Message Inbox.

Allocation of ownership tracking for voting

In this release, we’ve rolled out some exciting new features to simplify voting and communications!  

1) Track allocation of ownership for voting

Condo associations often need to keep track of the allocation of ownership to distribute common area maintenance costs fairly, calculate assessment fees, and identify voting rights.  This month’s release introduces a new way to track the allocation of ownership, called unit weights in Pilera.  

You can now add the unit weight as a percentage in Pilera so you can automatically calculate voting rights on your election forms.  This saves you time and ensures accuracy in determining each owner\’s influence in the association.

Additionally, you can run on-demand unit reports with the unit weight information for offline use.

2) Export message recipients

You can now download a report of the recipients you sent an announcement or message.  This is a great report to send to your supervisor or clients, as it shows the status of text, phone, and email delivery in a professional PDF report. In the Message Center, go to the specific message you want to download this report for, click on details, and then export PDF.

3) Attach DWG/AutoCad file types in a ticket

Pilera now supports uploading a DWG file type into a Request For Proposal, Architectural Change Request, or Work Order.  Managers and board members can upload DWG files from their CAD (computer-aided design) programs to RFPs.  Residents and managers can upload DWG files to ACRs and work orders.

The new ticket charts in Pilera enable you to understand your operations better and identify trends impacting your team’s work. You can run charts for work orders, support, architectural change requests, request for proposals (RFPs), task management, rule violations, and incident management based on your selected filters and date range.  Whether you are analyzing ticket volume, problem patterns, or team workload, these new charts will help you make more informed decisions for your communities or company.

New charts include:

  • The trend of open versus closed tickets over time.
  • A breakdown of tickets by priority.  
  • A breakdown of tickets by category
  • The percentage of open, closed, and deleted tickets.
  • Tickets by status – any, new acknowledged, in progress, in review, on hold, completed, canceled, rejected, or deleted. 
  • A breakdown of work assigned to managers, board members, or vendors.

We have renamed the Activity Dashboard area in Pilera to Incident Dashboard.

Greetings!  We’re back with another exciting new feature this month that many of our customers have been asking for, architectural change request committees!

New Architectural Change Request Committee

Our clients needed a better way to streamline the review and approval process for architectural change requests.  In this month’s release, we’re excited to introduce the new ACR committee role!  Read on to learn about this new feature!

Create your ACR committee

You can now assign residents and board members the role of an ACR Committee Member so they can access ACRs, approve them, and stay informed throughout the process

Approve or reject ACR tickets

Committee members can create, edit, update, approve, and reject architectural change request tickets.  These features help committee members and managers speed up the architectural review process.

Send and receive email notifications

When creating or updating an Architectural Change Request ticket, you can choose to notify all committee members by email.  Notifications are a great way to keep committee members informed when you have a question, an update to share, or need approval. 

Committee members can participate in ACR conversations

Committee members can view and submit comments on the architectural change request through the comment visibility option.  The comment visibility allows for comments to be sent and tracked among different groups: 

  • Resident, board member, committee & managers
  • Private internal comments among Board Members, committee, and managers

The Architectural Change Request dashboard now enables you to filter by a specific committee member, empowering your team to find bottlenecks and resolve them to keep things moving smoothly.  This is a great way for committee members to see all the ACRs that are assigned to them for approval.  Additionally, committee members can generate reports on-demand to discuss during board meetings.

Last month, we introduced RFP Plus, a platform that centralizes all your request for proposal activities, documents, and conversations in a single place.  In this month’s update, we’ve enhanced the platform with the ability to add quick comments to your RFP tickets.  The quick comment functionality enables you to create templates of common responses, so you can reply to vendors faster and keep your message consistent.
